Switching WhatsApp platforms doesn’t have to mean starting from scratch. Soneka provides two migration paths — a self-serve one-click importer and a fully managed white-glove service — so you can bring everything with you: your contacts, message templates, automation flows, and conversation history. Your customers won’t notice a thing.

One-Click Importer

The one-click importer is available on all plans, including Starter. It connects directly to your existing platform’s API, pulls your data, and imports it into Soneka automatically — no CSV exports, no manual copy-paste. What the importer migrates:
  • Contact lists (names, phone numbers, custom attributes, tags)
  • Approved WhatsApp message templates
  • Automation flows and chatbot sequences
  • Conversation history (up to 12 months)

Open the Migration Wizard

In your Soneka workspace, go to Admin → Settings → Migrations. Click New Migration and select your current platform from the list.

Authenticate Your Existing Account

Enter your API key or OAuth credentials for your current platform. Soneka uses read-only access — nothing is deleted or modified on the source platform.

Select What to Import

Choose which data sets to import: contacts, templates, flows, and/or history. You can run the importer multiple times if you want to stage the migration in steps.

Review and Confirm

Soneka displays a summary of records found (e.g., “3,241 contacts · 18 templates · 4 flows”). Review the preview, then click Start Import.

Wait for Completion

Most imports complete in under 30 minutes. You’ll receive an in-app notification and an email when the import finishes, along with a detailed report of any records that couldn’t be transferred and why.
WhatsApp Business API templates are linked to your Meta Business Account, not to any third-party platform. Imported templates will appear in Soneka but may need to be re-submitted for Meta approval if your WhatsApp Business Account (WABA) is changing. Templates already approved under the same WABA do not need re-approval.

White-Glove Migration

On Pro and Enterprise plans, Soneka’s migration engineers handle the entire move for you — for free. White-glove migration is designed for teams with complex setups, large contact databases, or custom automation flows that need careful validation. What’s included:
  • A dedicated migration engineer assigned to your workspace
  • Full migration of contacts, templates, flows, and 12 months of conversation history
  • Parallel validation — your existing platform stays live until you sign off
  • A 3-day average timeline from kickoff to go-live
  • Zero downtime: customers can still send and receive messages throughout

White-Glove Migration Timeline

Your migration engineer schedules a 30-minute kickoff call to understand your setup, map your data structure, and obtain read-only access to your source platform. You receive a migration checklist and a shared project tracker.
To request white-glove migration, email connect@soneka.africa with the subject line “White-Glove Migration Request” and include your workspace name and current platform. You can also start the process from Admin → Settings → Migrations → Request White-Glove Migration.

After Your Migration: Checklist

Once the import or white-glove migration is complete, work through this checklist before going fully live:

Verify Your Contacts

Go to Contacts and spot-check a sample of imported records. Confirm that custom attributes, tags, and opt-in status transferred correctly. Use the filter tools to identify any contacts flagged with import warnings.

Review and Re-approve Templates (if needed)

Open Templates and check the status of each imported template. Templates migrated under a new WABA will show “Pending Approval” — submit them for Meta review directly from the Soneka dashboard. Typical approval time is 24–48 hours.

Test Your Automation Flows

Go to Flows and run each flow in test mode using the built-in simulator. Confirm triggers fire correctly and message content rendered as expected. Enable flows one at a time to avoid unexpected broadcasts.

Reconnect Integrations

If you used third-party integrations (Shopify, CRM, Zapier), reconnect them via Admin → Integrations. API keys from your previous platform will not transfer — generate new Soneka API keys as needed.

Notify Your Team

Let your agents and team leads know the workspace is live. Point them to the Soneka Help Center or schedule a short walkthrough to orient them to the new interface.

Tips for a Smooth Migration

Run the importer on a quiet day. While migration doesn’t cause downtime, running it during a low-traffic window (e.g., a weekend morning) gives you time to validate data without the pressure of active customer conversations.
Archive stale contacts first. Before importing, remove contacts you no longer need from your source platform. Smaller, cleaner imports complete faster and are easier to validate.
Keep your old platform active for 48 hours after go-live. Don’t cancel your previous subscription immediately. Give yourself a short overlap window to catch any edge cases before fully cutting over.
Do not run two active WhatsApp Business API connections on the same phone number simultaneously. Ensure your number is disconnected from your previous platform before connecting it to Soneka to avoid message delivery issues.
